Procurement overview

Clear scope. Clear expectations. A proposal built around your site.

A general overview for facilities and procurement teams considering cleaning services for public buildings and education settings in Canada.

01 / Overview

Facility cleaning for public use.

Office Cleaning Authority focuses on cleaning requirements for government buildings, K–12 schools and post-secondary facilities. Each opportunity is reviewed individually, with service availability and the proposed scope confirmed against the buyer's actual requirements.

Settings

  • Municipal, provincial and federal facilities
  • Public and independent schools
  • Colleges and campus buildings
  • Multi-site portfolios, subject to capacity review

Planning priorities

  • Building use and operating hours
  • Task frequency and service levels
  • Staff access and site-specific safety
  • Inspection and issue resolution

02 / Service scope

Services defined in the statement of work.

Services below describe potential scope areas. Final inclusions, exclusions, frequencies and prices are agreed for each project.

Periodic careFloor maintenance, detailed cleaning, school-break work and scheduled refreshes of high-use areas.
Project workPre-occupancy, move-in, renovation closeout or event-related cleaning, quoted separately.
Optional controlsProduct requirements, consumable responsibility, checklists, inspection intervals and reporting format.

03 / Bid response

What a tailored submission should make easy to evaluate.

We work from the solicitation's mandatory criteria and evaluation format. A response can organize the following elements where they apply:

  • Technical scope: a task and frequency schedule mapped to the site and any required standards.
  • Delivery plan: staffing assumptions, work windows, mobilization, supplies and equipment responsibilities.
  • Quality plan: inspection method, a named issue route and corrective-action expectations.
  • Commercial schedule: the requested pricing structure, optional items and documented exclusions.
  • Supporting records: only verifiable insurance, workplace coverage, references, screening or security documentation that the solicitation requires.

04 / Requirements

Requirements are checked before we commit.

Safety, access and product rules depend on the facility and jurisdiction. We confirm the applicable requirements in the bid documents rather than treating one checklist as valid for every contract.

Education settings

School access and worker screening requirements are confirmed with the district or institution. In British Columbia, custodial workers may require a Criminal Records Review Program check when working with children.

Government settings

Security screening, site access, insurance and other conditions are reviewed against each solicitation. Federal security requirements can vary by site and contract.

Product and worker safety: A site plan should address applicable WHMIS training, labels and safety data sheets. If disinfection is included, product selection and use should follow current Canadian authorization and label directions.

05 / Next step

Invite us to review your requirement.

Send the RFP/RFQ, locations, approximate floor area, expected service frequency, start date and any mandatory site visit. We will confirm whether the opportunity is within scope before a proposal is prepared.
